Introduction
A proposal or quote is a document presented to a customer that outlines the products or services you offer, along with their corresponding prices. It serves to give the customer a clear understanding of what you can provide and the associated costs.
Configuration
To utilize this module, you must first enable it with an administrator account by navigating to the menu option “Home – Setup – Modules.”
Locate the tab where the module is listed and click on “Activate” to enable it.
Once activated, if you see a cog icon on the module thumbnail or at the end of the module line, click on it to access the module’s specific setup page.
Life cycle / Business rules
When a commercial proposal is created, it is initially set to the status “Draft.” Once the proposal is reviewed and approved, its status is updated to “Validated.”
After validation, the proposal can be finalized with one of two statuses: “Signed” if the customer has accepted it, or “Refused” if the proposal has not been accepted.
If the proposal is marked as “Signed,” it can then be converted into an invoice or an order, either manually or automatically, depending on your system’s capabilities.
Create a proposal
To create a business proposal, follow these steps:
Ensure Requirements are Met:
- The third party must be defined as either a customer or a prospect (or both).
- The “Commercial Proposal” module must be enabled in your system.
Access the Third Party Card:
- Navigate to the third party card for the customer or prospect for whom you want to create the proposal.
Add the Proposal:
- Click on the “Add proposal” button located in the customer or prospect tab of the third party card.
Validate the Proposal:
- After inputting all necessary information for the proposal, proceed to validate it.
Following these steps will ensure that you successfully create a business proposal associated with the selected third party.
Closure of a proposal (Refused or Signed then Billed)
A proposal is closed when set to “Refused”. If the proposal is set to “Signed” when the customer has agreed, the prospect attached is automatically set as a customer if it is not already a customer. Then, you have then to decide when the proposal will be closed. Once an order has been created or once an invoice has been created.
If you setup correctly Module Workflow, you can have a “draft” order created automatically. You can also to have the proposal being closed automatically when the order is created or when the invoice has been validated.
